Job SummaryThe Program and Office Coordinator will be a key member of the Syracuse team, reporting directly to the Financial Projects Manager and supports the General Manager and Director of Operations.
The group operates under a flat structure, and the successful candidate will have regular visibility and direct access to the Syracuse team.
The successful candidate will be a self-starter that enjoys working in a fast-paced environment, strong commitment to deadlines and team, is process oriented with a high sense of ownership in their work, possesses a high degree of intellectual curiosity, and has excellent excel skills, and time keeping foundation.
Organization and attention to detail skills are a must.
Duties & ResponsibilitiesGeneral office coordinator duties:
Maintaining and reordering of inventory office/plant/janitorial supplies and tracking against par values.
Organization, tracking, and reconciliation of all charges and receipts on Syracuse credit cards through Certify utilizing GL coding.
Plan and schedule maintenance utilizing CMMS including but not limited to; record keeping and ordering of parts and material, tracking against par values, planning and scheduling maintenance, safety audits, inventory controls, time sheets, part costs, asset management, KPI reporting, work order assignments, etc.
Data entry and maintenance of various excel spreadsheets, logs, meter reads, etc.
Report variances to senior staff.
Scan and maintain revision control of plant documents including daily, weekly, and monthly meter reads and chart stamping.
Create, update and maintain an organized filing structure.
Support all Management staff as required, including but not limited to assisting/preparing presentations, coordinating meetings, events, onboarding/offboarding employees etc.
Utility billing processing, electric, water and natural gas usage tracking.
Updating utility tracking spreadsheets and reporting extreme variances to management.
Office errands including; mail/letter/package retrieval and distribution, scanning, grabbing lunch for internal meetings, etc.
Capital Program Related Duties:
Work with Project Managers, Consulting Engineer and Procurement Manager on the creation and execution of project contracts (AIA contracts).
Update and maintain, filing structure for project documentation & filing.
AFE (Authorization for Expenditure) submittal compilation, status update reporting and circulation for signatureSupport cost tracking functions including data entry and reconciliation in various excel spreadsheets and in Microsoft Dynamics (D365).
Support in maintaining and recording internal Capitalized Labor and tracking across all projects.
Additional duties the candidate may be asked to support based on workload and capabilities:
Support in creating purchase orders and tracking in workflow to expedite the process for high priority items.
Support in creating and maintaining monthly steam report used to bill customers.
Compiling and ownership of Monthly Ops and Capital dashboards.
